AI Form Builder Guide
Learn how to create inspection, audit, checklist, and survey forms with AI. Start from category-specific prompt ideas, review the first draft, refine it in 1-3 quick iterations, and then save or edit manually.
Start AI Form BuilderWhat Is the AI Form Builder?
The AI Form Builder uses artificial intelligence to generate structured forms from a plain-language description. It supports inspections, audits, checklists, and surveys. You can begin with a starter prompt that matches your category or type your own request, then refine the generated draft through follow-up messages before moving into the manual editor or preview flow.
When Should I Use This Tool?
- When you need a first draft quickly and want curated starter ideas instead of a blank input
- When setting up a new inspection, audit, checklist, or survey form for a product, process, or team workflow
- When you want AI to suggest the right field types, response styles, notes, signatures, or photo evidence fields
- When you expect to refine the draft over 2-3 short iterations before saving the final form
Before You Start
Have the following ready:
- Your form category and a short description of the workflow, checks, questions, or evidence you need
- A signed-in account so you can use AI features and continue into the editor, preview, and save flow
1 Choose a category and open the AI designer
Start from Quick Form and choose the type of form you want to build: inspection, audit, checklist, or survey. The selected category drives the starter prompts, response language, and the kind of draft the AI will generate.

2 Start with a starter prompt or your own request
Before the first AI request, the designer shows featured starter prompts for the selected category. You can click Use this prompt, open More ideas to browse the full list, or type your own request in the input box. Selected prompts are inserted into the existing text area so you can edit them before sending.

3 Review the first draft and current form summary
After AI responds, the designer shows the explanation, an inline preview of the generated form, and a compact current form summary. Review the title, field counts, required items, photo or signature usage, and the response model to make sure the draft matches your intent.

4 Refine the form with quick actions and follow-up prompts
Once a draft exists, the designer switches into refinement mode. You can use quick-action chips, category-specific suggestions, and current field chips to build precise follow-up requests. Each successful follow-up can show a What changed summary so you can confirm that AI applied the requested edits.

5 Finish in the editor, preview, and save flow
When the draft looks right, choose Edit Manually to fine-tune the structure or Use This Form to continue into preview and save. From there you can review the final form, save it to your account, and share it with the people who need to complete it.

Tips & Best Practices
- Be specific about the workflow, standards, evidence, and response style you want. Mention items like ISO 9001, Yes / No / Partial, Conform / Nonconform, photos, or signatures when they matter.
- Use the refinement helpers after the first draft. Quick actions, category suggestions, and field chips make follow-up requests faster and more accurate than rewriting everything manually.
- If you need exact polish, use Edit Manually after 1-3 AI iterations instead of pushing tiny structural edits through many extra chat turns.
