Weekly Audit & Reports

Run weekly QM audits, generate AI-powered audit reports, and build evidence packages for ISO/IATF compliance.

Open 5S System

What Is the Weekly Audit?

The weekly audit is where the Quality Manager reviews aggregated 5S performance for the past week, combining submission scores, corrective actions, and checklist changes into one comprehensive view.

  • Combines submission scores, actions, and checklist changes into one view
  • AI generates professional audit reports with findings and recommendations
  • Reports serve as evidence for ISO 9001, IATF 16949, and similar audits
  • Evidence packages provide complete traceability for external auditors

Before You Start

Make sure the following is in place before running the weekly audit:

  • You must be the system owner (Quality Manager role)
  • At least one week of operator submissions should be available
  • Supervisor reviews for the week should be completed for the most accurate picture

1 Navigate to Weekly Audit

From the system dashboard, click "Weekly Audit" in the navigation. The page opens showing the most recent completed week.

Use the week selector to choose which week to audit. The system uses ISO weeks (Monday to Sunday).

  • Navigate forward or backward through weeks using the arrow buttons
  • The selected week's date range is displayed below the selector

3 Review Aggregated Scores

The audit page shows aggregated scores for the selected week across all areas.

  • Overall score for the week with comparison to the previous week
  • Per-pillar scores (Sort, Set in Order, Shine, Standardize, Sustain)
  • Total submission count and unique operator count

4 Per-Area Breakdown

5 Top Failing Items & Actions Summary

The audit page highlights the top failing items for the week and provides a summary of corrective actions.

  • Top 10 failing items ranked by failure count across all areas
  • Action summary: open, overdue, created this week, and closed this week
  • Checklist version change log showing any modifications during the week

6 Add QM Notes

Use the QM Notes field to document context, observations, or decisions that data alone does not capture. Notes are saved with the weekly audit record.

Tip
Use QM notes to document context that data alone does not capture, such as equipment changes, staffing variations, or external events affecting scores.

7 Generate AI Audit Report

Click "Generate AI Report" to have the system analyze the week's data and produce a professional audit report with findings, trends, and recommendations.

  • The AI analyzes submission patterns, scores, failures, and actions for the week
  • The report includes findings, trend analysis, risk areas, and improvement recommendations
  • Reports are generated in the system's default locale (English, Spanish, or Portuguese)
Tip
AI reports are bilingual -- they respond in the system's default locale. You can regenerate the report if you change the system locale.

8 View and Download Reports

Generated reports are stored with the weekly audit record. You can view them inline or download as PDF.

  • Click "View Report" to see the full report inline on the audit page
  • Click "Download PDF" to save a formatted copy for sharing or archiving

Evidence Packages for Audits

For formal external audits (ISO 9001, IATF 16949), generate a comprehensive evidence package that provides complete traceability.

  • Select a date range to include in the evidence package
  • The package exports all submissions, photos, sign-offs, actions, reports, and version changes
  • Provides complete traceability from operator check to QM review to management sign-off
Tip
Keep the evidence package workflow for quarterly or annual audits. Weekly reports are sufficient for regular internal reviews.

Tips & Best Practices

  1. Run the weekly audit every Monday for the previous week to maintain a consistent review rhythm.
  2. AI reports are bilingual -- they respond in the system's default locale.
  3. Use QM notes to document context that data alone does not capture.
  4. Keep the evidence package workflow for quarterly or annual audits.
