QR Codes & Distribution

Print QR codes, share WhatsApp links, and manage access tokens for your plant areas. Get operators checking in minutes -- no app, no login required.

What Are QR Codes For?

Each area in your 5S system has a unique QR code that operators scan to access their daily 5S checklist. No account, no app download, and no login are required.

  • Each QR code links to a specific plant area's daily checklist
  • Operators scan with any smartphone camera -- no special app needed
  • The QR code embeds a GUID access token that securely identifies the area
  • You can also share the link via WhatsApp, email, or SMS as an alternative to QR codes

Before You Start

Make sure you have the following ready:

  • A 5S system with at least one area already created (see System Setup guide)
  • Access to a printer for physical QR code posting (or use digital sharing)
  • Lamination supplies recommended for industrial environments

1 Print a Single Area QR Code

Navigate to any area card on the system dashboard and click the QR code icon to open the print view for that specific area.

  • From the system dashboard, click the QR icon on the area card
  • A print-friendly page opens showing the QR code with the area name and system title
  • Use your browser's Print function (Ctrl+P) to print or save as PDF
Tip
Print at minimum 3cm x 3cm for reliable scanning from 30cm distance with common phone models.

2 Print All Areas at Once

Print all area QR codes on a single page for easy lamination and distribution across the plant floor.

  • Click "Print All QR Codes" from the system dashboard toolbar
  • A single page renders all area QR codes in a grid layout, ready for lamination
Tip
Laminate the printed page and cut individual QR codes for posting at each work area entrance.

3 Share via WhatsApp

Send the area check link directly to operators via WhatsApp for quick mobile access.

  • Click "Share via WhatsApp" on the area card to open WhatsApp with a pre-filled message containing the check link
  • Operators can bookmark the link on their phone for quick daily access

4 Share via Direct Link

Copy the direct URL for any area and share it via email, SMS, or post it on a digital screen in the work area.

  • Click "Copy Link" on the area card to copy the URL to your clipboard
  • Paste the link in an email, text message, or display on a digital signage screen

5 Regenerate Access Tokens

Regenerating an area's access token invalidates all existing QR codes and links for that area. Use this when security is a concern.

  • Navigate to the area settings and click "Regenerate Token"
  • All existing QR codes and shared links for this area will stop working immediately
  • You must reprint QR codes and reshare links after regeneration
Tip
Regenerate tokens when an employee with access leaves the organization or if you suspect a QR code has been compromised. Consider regenerating quarterly as a security best practice.

Where to Post QR Codes

Strategic placement of QR codes maximizes operator adoption and builds daily check habits:

  • Entrance to each work area at eye level
  • Near the time clock or shift change station
  • On the area's tool board or workstation
  • Laminate for durability in industrial environments (oil, dust, water)
  • Consider posting at multiple points for large areas
Tip
Post at "natural pause points" where operators already stop (shift start, break area). Habits form faster when checks are easy to start.

Tips & Best Practices

  1. Laminate QR codes to protect against factory conditions (oil, dust, water).
  2. Print at minimum 3cm x 3cm for reliable scanning.
  3. Keep a backup digital copy (email, WhatsApp group) for when laminated codes get damaged.
  4. Regenerate tokens periodically (quarterly) as a security best practice.
  5. Test scanning from 30cm distance with common phone models before bulk posting.
