How operators fill daily 5S checklists via QR code or shared link. Covers identity, shift selection, pillar-by-pillar entry, photo capture, and score confirmation.

What Is the Daily Check?

Operators fill a 5S checklist for their assigned work area daily. The check is designed to be fast, mobile-first, and require no account or app download.

  • No account required -- access via QR code or shared link
  • Mobile-first design with large touch targets (640px max width)
  • Takes 3-5 minutes per area
  • Results feed into the supervisor dashboard, SPC analytics, and management reports
  • Gamification features including streaks, milestones, and leaderboards encourage daily participation

Before You Start

Make sure the following is in place before starting your daily check:

  • Your Quality Manager has already created the 5S system and printed QR codes for your area
  • Each QR code corresponds to a specific plant area (e.g., "CNC Area 1", "Assembly Line 2")
  • You need a smartphone with a camera and 3-5 minutes to complete the check

1 Scan the QR Code or Open the Link

Point your phone camera at the QR code posted in your work area, or open the shared link from WhatsApp or email. The link uses a GUID access token so no login is required.

Tip
Bookmark the link on your phone for quick daily access. You can also save it to your home screen for one-tap opening.

2 Identity & Shift Selection

Depending on how your Quality Manager configured the system, you may need to enter your identity and select your current shift.

Anonymous
Skip straight to the checklist. No identity entry required. Fastest option but personal tracking features (streaks, leaderboard) are not available.
Name Remembered
Enter your name the first time. It is saved in your browser for future checks. Enables personal streaks and leaderboard features.
Employee Code
Enter your employee ID each time. Most formal mode with full traceability. Required for regulated industries.

If shifts are configured for your system, select your current shift from the dropdown before proceeding.

Tip
Your name or code helps supervisors know who submitted each check. It also enables personal streaks and leaderboard features.

3 Duplicate Check Guard

The system automatically checks whether you have already submitted a check today for this area and shift. This prevents accidental double submissions.

  • The system checks if a submission already exists for today's date, this area, and your shift
  • If a duplicate is detected, you will see a message and can choose to continue or skip
  • This guard prevents accidental double submissions that could skew analytics

4 Filling Out the Checklist

Items are grouped by S-pillar (Sort, Set in Order, Shine, Standardize, Sustain) with a progress bar at the top. Navigate between pillars using tabs or swipe. For each item, respond based on its type:

Compliance (YesNo)
Tap "Yes" or "No" for each item. Yes means the item passes, No means it fails.
Compliance (ThreePoint)
Tap 1 (Bad), 2 (OK), or 3 (Good). Scores of 2 and 3 count as passing.
Compliance (FivePoint)
Tap 1-5 on the scale. Scores of 3, 4, and 5 count as passing.
Numeric
Enter a decimal number (e.g., temperature, pressure). The spec limits (LSL/USL) are shown as reference. The value passes if within range.
Condition
Select from predefined options (e.g., "Good / Fair / Poor"). The first option is considered compliant.
Photo Only
Take or upload a photo. No scoring -- documentation only. Used for visual evidence.
Text Note
Type free text. No scoring -- documentation only. Used for serial numbers, batch IDs, or observations.

Items marked as Critical show a warning icon. Failing a critical item triggers a red tag flag on submission that alerts the supervisor immediately.

Tip
Be honest in your responses. Accurate data helps identify real problems. The goal is improvement, not a perfect score.

5 Photo Capture

Items with photo mode "Optional" or "Required" display a camera button. Tap the camera icon to capture a photo directly from your device or upload an existing image.

  • Tap the camera icon to capture a photo -- on mobile, this opens your device camera directly
  • Photos are uploaded via the API and stored with the submission for supervisor review
  • Items with "Required" photo mode must have a photo attached before you can proceed
Tip
Take clear, well-lit photos. Include context (area signage, equipment labels) so supervisors can understand the photo without being there.

6 Review & Submit

After filling all pillars, a summary screen shows your scores and any flagged items. Review your responses before submitting.

  • Per-pillar scores are calculated client-side and displayed with color indicators
  • Overall score is shown as the average of all 5 pillar scores
  • Any critical failures are highlighted with a red tag alert
  • Duration (time from start to finish) is recorded automatically
Tip
You cannot edit a submission after it is sent. Double-check critical items before tapping Submit.

7 Confirmation & Score

After submission, you see your complete score breakdown along with gamification rewards.

  • Overall score with color indicator (green for good, yellow for fair, red for needs improvement)
  • Per-pillar score bars showing how each S-pillar performed
  • Duration of the check from start to finish
  • Your current streak (consecutive daily submissions for this area)
  • Milestone badges if earned (e.g., "First Check", "7-Day Streak")

Streaks, Milestones & Leaderboard

The 5S System includes gamification features to encourage daily participation and build habits. These features are available when the operator identity mode is set to Name Remembered or Employee Code.

Streaks

Streaks track consecutive daily submissions for an area. Your streak color advances as you maintain daily discipline:

  • Gray (0-2 days) -- Just getting started
  • Yellow (3-6 days) -- Building momentum
  • Orange (7-13 days) -- Solid consistency
  • Red (14-29 days) -- Strong discipline
  • Purple (30+ days) -- The gold standard of 5S commitment

Milestones

Achievement badges are awarded when you reach streak milestones:

  • "First Check" -- Awarded after your very first 5S submission
  • "7-Day Streak" -- One full week of daily checks without missing a day
  • "30-Day Legend" -- A full month of consecutive daily 5S checks

Leaderboard

The area-level leaderboard ranks operators by streak length and average score. Access your personal stats via "My Checks" from the confirmation page after any submission.

Tip
Maintaining a daily streak shows discipline. Purple streak (30+ days) is the gold standard! Do your check at the same time each day to build a habit.

Tips & Best Practices

  1. Do your 5S check at the same time each day for consistency -- start-of-shift is the most common choice.
  2. Take photos of anything unusual, even if the photo is optional. Visual evidence helps supervisors act faster.
  3. If you notice a safety hazard, report it immediately to your supervisor -- do not wait for the check.
  4. Check all 5 pillars honestly. Partial or dishonest checks are less useful for analytics and improvement.
